1. GETTING SET UP 

The first time you use our Booking Engine, you will need to use your Bedsonline credentials received by email and use them to gain direct access to the platform. 

  • Username: Your Username was shared with you via email. Check in your inbox and look for the following emails to locate your Username:  
    Good News! Your Bedsonline credentials are ready!ORWelcome and start booking with Bedsonline now!” 

  • Create password (for the first time) 
  • Reset password (if needed) 
  • Reset username 
  • Password expiration:  
    To maintain the highest safety standards for your personal data, your password is due to expire after 90 days. You will be prompted to update it regularly after this.

 ✈️ Send a quote

With our Booking Engine you can easily create quotes and send them to your clients! When your clients are ready to book, you can simply retrieve the quote from your ‘Quotes’ section in our Booking Engine, and proceed with the booking.

✈️ Save time making a booking and create a Favorites List 

With our ‘Favorite’ function, you can get quick and easy access to your most-booked hotels! Simply click the ‘heart’ icon next to the hotel listing of your choice, and it will be automatically added to your list of favorites.  

From here, you can also compare accommodation options to easily create your clients’ perfect trip.

✈️ Passenger details: Agency reference

The Agency Reference field is a mandatory field, but it’s there for you to keep track of your different clients. We could add the passenger names, or perhaps the event – “Jones anniversary trip”, “Fernandez Wedding”. This field is required to be filled in and cannot be left empty. You can search for bookings using this field after the booking has been completed. Please note that whatever you enter in this field will be shown on the client’s booking documentation, as well as the receipt and invoice.  

✈️ Adding users/Logging in

We encourage every advisor in the agency to have a personal log-in for Bedsonline. New users can be added directly on the website by a manager set-up under an Admin profile, or they are welcome to register on the website.

3. PAYMENT METHODS 

When it comes to paying for your reservations, we make it easy and flexible for you and your clients.  

You can pay for future bookings through our website any time, just go to the ‘Manage my bookings’ page and select ‘Pending payment’. Select the booking you want to pay for and follow the steps to pay by credit card. Please note that no deposit is needed to use this flexible payment option.

Here's what you need to know about payments with Bedsonline: 

💳 We'll send you payment reminders nine, six and three days before cancellation fees apply.  

💳 If there is no payment made before the deadline, your reservations will be cancelled automatically.  

💳 If you make a last-minute booking within the three days prior to the application of cancellation fees, or if your booking is non-refundable, the amount needs to be paid up front.  

💳 If you need to modify a booking you've already paid for, you'll need to pay for any changes at the time of modification.

⭐ You can book now and pay later thanks to our flexible payment options. You can also book with no charges until up to three days before cancellation fees apply.

⭐ Our booking portal allows you to filter results by cancellation policies, including free cancellation, partial cancellation fees and non-refundable deals.  

» Multiple cancellations 

⭐ If you need to cancel more than one trip at a time, our platform makes it simple with just the click of a button. 

⭐ While most agencies opt for a prepayment method, Bedsonline is also happy to discuss credit options with registered and validated partners. Please reach out to your Account Manager to discuss.

4. COMMISSION AND PRICING MODEL 

Bedsonline operates with two pricing models for your convenience. We can either display the commissionable rate, or we can display the net rate.

Please note, the commissionable rate is only for commissionable clients. 

» Commission Information

How much commission am I earning? 
To view your commision levels, simply click 'Price details & commission' against your desired property to see the current commission percentages, and adjust these accordingly using the - and + options. Keep in mind that the price you see at search level is the same price in the cart – there are no added fees between search and check out.

The commission percentage can vary between types of products (accommodation, tours, transfers, activities, car rental). 

» Adjust Your Commission

Using our built-in commission adjustment tool in the Booking Engine allows you to modify the percentage of commission you receive on individual hotels during the booking process. Doing so allows you to stay price competitive! 

Please note this is not visible to your final customer, and is only adjustable during the booking process.

» Option To Add An Administration Supplement

Maximize your earnings by using the administration supplement function in our booking platform! This can be done at the time of booking, and you can also choose whether to show or hide this separate charge on their receipt, for customizable transparency on a client-by-client basis.
